Privacy policy
Last updated: 28 August 2026
This policy explains what Patient Attendance Co does with personal information collected through this website. It applies to patientattendance.co.uk and patientattendance.com.
Patient Attendance Co is a small consultancy run by a sole trader based in Lancashire, England, and is the data controller for the information described below. You can reach us at tj@patientattendance.co.uk.
What we collect
Information you give us. When you complete the enquiry form on this site, we collect your name, your practice name, your email address and – if you choose to provide them – your phone number, an indication of your appointment volumes and anything you write in the message field.
Information collected automatically. Our hosting provider records standard server logs, including IP addresses, browser type and the pages requested. These are used to keep the site running and secure.
We do not collect patient data through this website. If we later work together, any patient information involved in that work is covered by a separate written agreement, not this policy.
Why we use it, and our legal basis
| What we do | Legal basis |
|---|---|
| Reply to your enquiry and arrange a call | Legitimate interests – you contacted us and expect a reply |
| Keep a record of enquiries and correspondence | Legitimate interests – running and evidencing the business |
| Send occasional emails about reducing missed appointments, if you opted in | Consent |
| Keep the website secure and working | Legitimate interests |
| Meet legal and accounting obligations | Legal obligation |
Where we rely on legitimate interests, we have considered whether our interest in running the business is outweighed by your rights, and concluded it is not – the processing is limited to responding to enquiries you have chosen to make.
Who sees it
Your information is handled by Patient Attendance Co and by the service providers who run our systems on our behalf, namely:
- our website host
- our email provider
- our form plugin, which stores submissions in the website database
These providers act on our instructions and are not permitted to use your information for their own purposes. We do not sell personal information, and we do not share it with third parties for marketing.
We may disclose information where the law requires it.
Where a provider stores data outside the UK, that transfer is covered by the appropriate safeguards, such as an adequacy decision or standard contractual clauses.
How long we keep it
- Enquiries that don’t lead to work: 24 months from the last contact, then deleted.
- Enquiries that do lead to work: for the duration of the engagement and six years afterwards, to meet accounting and legal requirements.
- Marketing consent records: until you unsubscribe, plus a short period afterwards to evidence that you asked to be removed.
- Server logs: as retained by our host, typically a matter of weeks.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything inaccurate
- ask us to delete it
- ask us to restrict how we use it
- object to processing based on legitimate interests
- ask for your information in a portable format
- withdraw consent at any time, where we rely on consent
To exercise any of these, email tj@patientattendance.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113. We would rather you came to us first so we can put it right.
Cookies
This site uses only the cookies necessary for it to function, including any set by the form to prevent spam submissions.
Marketing emails
If you opted in, you can unsubscribe using the link in any email, or by emailing tj@patientattendance.co.uk. Unsubscribing stops the marketing emails; it does not affect our ability to reply to an enquiry you have made.
Changes to this policy
If we change this policy we will update the date at the top of the page. Material changes will be noted on the page itself.
